Marketing: campaigns and automatic messages

Email a group of clients, switch on messages that go by themselves (time to rebook, we miss you, birthday, review request), and see the bookings they bring in.

1. Choose who it goes to: it counts them for you.

Where it is

Tap Marketing in the menu. It has four tabs: Campaigns, Automatic messages, Offers (your promotions, sales, discount codes and Refer a friend) and Results. Admins and Managers have it to start with; for anyone else, switch on Marketing in their permissions (Admin → Team, Roles & permissions).

Sending a campaign

  1. 1Marketing → Campaigns, then New campaign. Start blank, or from Seasonal offer, New availability, Refer a friend or Come back offer.
  2. 2Under Who it goes to, choose when they last visited (any time, in the last few months, not for a few months, or never), and if you like, a treatment they’ve had, who they’ve seen, or their birthday month. It shows how many clients will get it, and how many are left out because they have no email address or opted out.
  3. 3Write the subject and message like a normal document. Insert adds the client’s first name and your details, and Write with AI can write it for you. Replace anything in [brackets] with your own words: it won’t send until you do.
  4. 4Choose a Book now button (to your booking page) or no button. Tap Preview to see it as clients will, and Send me a test to get it yourself.
  5. 5Send now, or Schedule and pick a date and time. A scheduled campaign can be cancelled until it goes. Save draft keeps it to finish later.

Automatic messages

Marketing → Automatic messages. Switch any of them on, set when it goes, and tap Edit wording to change what it says (with Preview and Send me a test). Time to rebook goes a set number of weeks after a client’s last visit if they haven’t booked again, and can name their last treatment. We miss you goes when it’s been a set number of months and nothing is booked. Happy birthday goes on their birthday or a few days before (it needs their date of birth). Review request goes the day after an appointment with a Leave a review button to the review page you add (your Google review link), at most once every 6 months for each client. Each one goes to each client once, between 9am and 8pm. Pulosa checks for ones that are due whenever your app is open on any device, so they go on days someone uses Pulosa.

Results

Marketing → Results shows, for the last 30 days, 90 days or 12 months, how many clients each campaign and automatic message went to, how many of them booked in the 30 days after, and what those bookings were worth. Each sent campaign shows the same when you open it, with Copy to send it again.

How many you can send

Each plan includes a number of marketing emails a month (Plans, in Admin → Business → Billing, shows how many). Campaigns and automatic messages both count; tests don’t, and an email that doesn’t go (a cancelled campaign, or a client who unsubscribed before it went) is given back. Campaigns, Automatic messages, Results and the This month card in Admin → Business → Billing show how many are left, and it starts again on the 1st. Need more? Tap the Buy button beside the count, which shows the pack size and price (for example Buy 1,000 more · £5), and pay by card; it stands out once you’re under a tenth. Extra emails don’t run out and are used once the month’s are gone. A campaign bigger than what’s left won’t send: choose fewer clients, buy more, or move to a bigger plan in Admin → Business → Billing. When everything’s used, automatic messages stop until the 1st. Clearing your sent log doesn’t change the count.

Clients who said yes to offers

When clients book on your website they can tick “Send me offers and news” (it’s never ticked for them). Their answer goes onto their client profile when the booking comes into your calendar, under their email address: Offers by email: yes or no. You can change it there (They said yes, or Change to no). When choosing who a campaign goes to, tick Only clients who said yes to offers to email just them.

Unsubscribing and the rules

Every marketing email has an Unsubscribe link at the bottom, and email apps show their own Unsubscribe button too. Anyone who unsubscribes never gets marketing from you again (appointment emails still go), and is listed under Opted out of marketing in Results, where you can also add an address yourself. Clients who asked through a data request, archived clients and clients with no email address are always left out. Under UK rules you can email existing clients about services like the ones they’ve had, as long as they can opt out, which every email lets them do. Never mention anything about a client’s health in a marketing email, and don’t advertise prescription-only medicines such as anti-wrinkle injections by name.
