Business profile and opening hours

Your business name, type, address, phone, email and logo, opening hours, and the rules for online booking.

1. Your name, business type and logo are used everywhere.

Profile

Admin → Business → Profile. Your business type changes the words used in the app (clients or customers, treatments or services). Business logo: tap Upload logo (a PNG with a transparent background works best). Your logo is used everywhere: your website, client emails, invoices and receipts, consent certificates, new starter forms and signed copies, the menu and login screen, and the home-screen app icon. No logo? Pulosa shows your initials and name instead. Replace logo changes it; Remove logo asks first, then your initials come back. Dark version (optional): tap Upload logo to add a white or light version for the dark menu of your Pulosa app. Without one, a dark logo is shown on a small white panel in the menu, and a white or pale logo gets a dark panel on white backgrounds, so it can always be seen. The two previews show how each will look.

Consent forms and health records

Admin → Business → Profile, under the business type: one switch for everything to do with consent. On: clients answer health questions and sign a consent form, at the desk or when booking online, and records are kept for the years set in Admin → Data & compliance → Policy. Off: no health questions or consent forms anywhere (booking at the desk goes straight from the time to payment, your website books without a form, and no form links are emailed); the Consent forms and DPIA tabs are hidden, as are consent badges, Forms to do and Today’s consents; and records have no set time to be kept, so archived clients can be deleted straight away (deleting still asks first and is noted in the audit log). It starts on for aesthetics, beauty, tattoo and piercing, and massage or wellness businesses, and off for hair, fitness and other businesses. Changing the business type doesn’t change it. Turning it off keeps anything already signed: those clients still show their Consents and Medical history tabs. If your treatments affect skin or health, a signed consent and treatment record is your evidence if a client makes a claim, so check with your insurer before turning it off.

Region: country and currency

Admin → Business → Profile, under Region. Currency is used for your prices, finances, emails and website. Changing it doesn’t convert prices (£50 becomes €50), so check your prices afterwards, and that your Stripe account takes the new currency if you take card payments online. Country decides whose rules your templates and guidance follow: Pulosa is set up for the UK, with more countries to come.

Bookings

Admin → Business → Profile, under Bookings. Switch Online booking on your website on or off. Set Minimum notice (none up to 2 days) and How far ahead clients can book online (14, 30, 60 or 90 days; regular appointment visits can go up to 6 months). Tick each day you’re open and set its times, and choose Appointment start times (every 10, 15, 20, 30 or 60 minutes). Tap Save. These hours are for bookings, at the desk and online, and they’re also the opening hours shown on your website, in client emails and on invoices. Someone who works fewer hours? Set their own in Admin → Team → their Working hours tab.

Clients changing or cancelling

Also under Bookings: Clients can change or cancel online (on to start with) puts a Change or cancel button in booking emails and a link in texts. Choose Up to how long before the appointment they can do it (any time, or 2 hours up to 3 days; 24 hours to start with), and write your Cancellation policy (optional): clients see it before they cancel, for example that a deposit isn’t refunded inside 48 hours. Pulosa doesn’t refund anything itself: when a client who’s paid cancels, your notification says how much was paid, and you refund it from the booking (Refund) if your policy allows. The client is told you’ll be in touch about any refund. Clients can move an appointment to any free time with the same person up to How far ahead clients can book online, or up to 4 weeks after the date it’s on now if that’s later (so the later visits of a regular appointment can be moved too). Switch it off and new emails and texts don’t have the link, and links already sent say to call you. Tap Save.

Contact details

Admin → Business → Profile, under Contact details: your address (with postcode, so the map finds you), phone and email. Fill them in once and tap Save contact details: they’re used on your website (header, footer, Visit us and the map), in client emails, on invoices and by your website assistant, and they update everywhere when you change them here. Your website takes your opening hours from the days and times under Bookings.

Dashboard colours

  1. 1Admin → Business → Profile, under Dashboard colours. It changes how Pulosa looks for everyone in your business: buttons, links, switches, the menu, and the highlight on your dashboard’s main button and counts. Your website, client emails and forms keep their own colours (change your website’s in the website editor).
  2. 2Under Accent, tap a colour, or choose any colour or type its code (for example #7c3aed). Use my website’s colour picks the colour your website uses. Darker shades are worked out for you, kept dark enough for white text on buttons.
  3. 3Under Menu, choose the menu’s colour. Light colours are darkened a little so its text stays easy to read.
  4. 4Under Highlight, choose the colour for the dashboard’s main button, your initials and the counts in the menu and top bar. Text on it turns dark or white, whichever is easier to read.
  5. 5You see it straight away. Tap Save colours to keep it, or Discard to go back. Use Pulosa’s colours puts the teal and coral back (it asks first).

Social media

Admin → Business → Profile, under Social media: Instagram, Facebook, TikTok, YouTube, X and LinkedIn. Paste a link or just type your handle (like @yourbusiness), leave any you don’t use blank, and tap Save social links. They show on your website, in the footer and the About section, and update there straight away.
