Every day

The calendar

Day, week and month views, who’s working, what’s paid, and everything you can do with a booking.

1. Day view has a column for each person. Tap an empty time to book.

Views and filters

Choose Day, Week or Month (Pulosa remembers which). The Today button beside them takes you back to today in Day view, from any view or date. The date button opens a small calendar: dots mark days with bookings, and tap any day to go there (or Today). The menu that says Everyone (when more than one person takes bookings) shows Everyone, Working today (Day view only: hides anyone off all day, such as on holiday, unless they have bookings) or one person. When there are any, tick Show cancelled (it says how many) to bring cancelled bookings and no-shows back into view. In Week view, tap a day’s heading to open it; in Month view, tap a day.

Knowing which day you’re on

The date bar above the calendar shows the day, week or month on screen, with Today, This week or This month when it’s the current one, and Past for days gone by. On a day it also shows your opening hours. It stays at the top as you scroll, and its arrows go back and forward.

The day view

Each person who can be booked has a column (managers and reception don’t), with their photo or initials and how many bookings they have. Names stay at the top as you scroll down, and times stay on the left as you scroll sideways (with lots of people, the columns scroll sideways once they get too narrow). Today opens at the current time, with a red line and the time marking now. On a phone you see one person at a time: tap a name above the calendar to switch. Past times and closed hours are greyed out and can’t be booked.

Reading the calendar

A red dot means not paid, amber means a deposit is paid. Completed bookings are green and no-shows are amber, marked No-show; a client who’s arrived shows Arrived (tap Arrived in the booking, or on the Today page); cancelled ones are struck through and hidden unless you tick Show cancelled. Opening an appointment from a client’s Bookings tab takes you to that day with it open, cancelled ones too. A globe marks an online booking and a loop marks a regular appointment. Blocked time, holidays, sickness and other time off are shaded; other people’s time off just shows as Off. The line above the calendar counts bookings and money taken, plus completed, cancelled, no-shows, amended (moved) and booked online when there are any. How to use, under the key, explains what tapping does.

What you can do with a booking

  1. 1Take payment: choose the Method (Card, for your card machine (one per machine you use), Cash or Gift card) and Amount, then tap Record payment. Less than the price is recorded as a deposit (marked (deposit) in Finances → Transactions). The client is emailed a receipt, gift card payments included. Once it’s paid in full they get a PDF invoice marked paid instead, if Email a PDF invoice when paid in full is on in Admin → Business → Payments.
  2. 2Send invoice: emails a PDF invoice with the amount still to pay.
  3. 3Arrived when the client walks in, then Completed, No-show or Cancel booking (you can email the client to say it’s cancelled). After Arrived or Completed, a message at the bottom of the screen has an Undo button for a few seconds, in case you tapped the wrong booking. No-show and Cancel ask first instead, because they stop the client’s reminder. Set back to booked undoes any of them later.
  4. 4Refund: give back some or all of what was paid (see Payments, deposits and invoices). When something has been paid and you can give refunds, Cancel booking becomes two buttons: Cancel & refund (cancels it and gives the money back in one go) and Cancel, keep payment (for example a deposit kept under your cancellation policy). Refunded or Part refunded then shows on the booking and on the client’s Bookings tab.
  5. 5Change date or time: pick a new time or person, and choose whether to email the client.
  6. 6Start consent, send a consent form link, or view the signed consent.

What happens behind the scenes

Cancelling or marking a no-show stops that booking’s reminder and form emails, and takes an unpaid sale out of Finances (money already taken stays). Moving a booking re-sends the reminder for the new time and replaces any consent form link not yet filled in. Set back to booked sets up the reminder again.

Good to know

  • Tap an empty time to book it. People who manage time off can choose to block it instead.
  • Only the people who do a treatment can be booked for it (set in Admin → Treatments).
  • Striped times are outside someone’s working hours (set in Admin → Team, on the person’s Working hours tab). Clients can’t book them online; you can still book them at the desk, after a warning. In Week view the stripes show when one person is chosen.
