Booking a client
Booking in person or on the phone, booking now and signing later, and confirmations by email or text.
Booking someone in
- 1Calendar → New booking (search for the client, or tap New client, then book), tap an empty time in the calendar, or open a client and tap Book service.
- 2Choose the treatment, and an option if it has them. With a long list, type in Search services (a name or a word from its description) or tap a category to narrow it down.
- 3Choose who it’s with, the date and a free time. Enter another time lets you choose a time outside the list.
- 4Tap Continue to take consent now (it carries on into the consent form), or tap Book now, consent later. With consent forms switched off (Admin → Business → Profile) there’s just one button, Book. Either way you then reach Payment (Paid in full, Deposit taken or Pay later) and Send a confirmation?.
When a new form isn’t needed
If they’ve signed a form for this treatment recently enough, you’ll see “No new form needed” and Book with earlier form. Before treating, check nothing has changed and tap Nothing has changed on the booking.
Confirming it
On Send a confirmation?, tick Email confirmation and reminder and check the address. If the client has a UK mobile number on their record, the texts you’ve switched on in Admin → Website & messages → Client messages → Texts go with the emails automatically. Emails and texts include a link for the client to change or cancel (see Online booking). Tap Finish.
What the client gets
The Booked screen lists what goes to the client, one line each: the Confirmation email (and the address it went to), the Reminder (when it goes, for example Mon 26 Oct, 10am (1 day before), or Too soon for a reminder when the appointment is close), and Text messages (which texts go and to which number). If something won’t go, it says why: reminder emails switched off, no email address chosen, no UK mobile on their record, booking texts switched off, or no texts left (with Buy credits). Then tap View in calendar, or go back to the client.
Regular appointments
Clients can book a series of visits (every 1 to 4 weeks) themselves when booking online, for treatments with Regular appointments switched on. The first visit’s form covers the rest, for up to a year. Paying by card online, they pay for every visit up front (with any regular appointment discount), or a deposit on each if you take deposits; paying in person, at each visit. At the desk, Take payment on any visit has Pay for all visits now: it takes what’s owed on that visit and every one still to come, marks each one paid and emails one receipt.

Good to know
- You can’t pick a time that overlaps another booking for the same person. Blocked time or time off shows a warning, but you can still book it.
