Every day

Taking consent

Health questions, risks and signatures: in person, handed to the client, or by email before the visit. Then sealed.

1. Each treatment has its own health questions.

Not a health or skin business?

Consent forms can be switched off for the whole business in Admin → Business → Profile (Consent forms and health records). Then bookings don’t ask for a form at all. See Business profile and opening hours.

The steps

  1. 1Treatment and time (see Booking a client).
  2. 2Medical history: yes/no health questions, medications, allergies and an emergency contact. A “yes” that rules the treatment out (marked Contraindication) needs a Clinical justification to proceed: at least 15 characters, kept in the audit log.
  3. 3Risks: go through each risk together and tap it to tick it off (or tap I have read all of the above). The aftercare is shown underneath.
  4. 4Signatures: the client’s full name, a tick to confirm the consent statement, photo consent if they agree, and their signature. Then the practitioner signs (their registration number is added).
  5. 5Review and Seal consent and book. Sealing fingerprints the form and can’t be undone.
  6. 6Payment and confirmation (both optional).

Hand to client

On Medical history, tap Hand to client and give them your device. The screen locks to just their questions, risks and signature. When they tap I’ve finished, a team member enters their PIN to carry on. To leave early, tap Staff at the top; anything filled in is kept. Five wrong PINs means a 30-second wait. Then go through the answers together and countersign.

Forms filled in before the visit

Forms sent by email, or done while booking online, arrive marked “Completed online, awaiting countersign”. At the appointment, open the client’s Consents tab and tap Review and countersign. Go through the answers together, change anything that’s different now, then tap Countersign and seal. A form sent with a New client link before they were booked says “not booked yet”: tap Book and countersign, choose the time, and their answers and signature are already filled in.

Sending a form link yourself

  1. 1Booked by phone or in person? Open the booking in the calendar and tap Send consent form.
  2. 2Tick Email them the link and check the address, then tap Send link. Or untick it and tap Make link.
  3. 3You can also send it by text: tap Copy link, or on a phone or tablet, Text it to open your messages with the text ready. On a computer it’s Copy as text instead: it copies the whole message with the link, to paste into a text or WhatsApp.
  4. 4The link works once, until the end of the appointment day. Their answers come into the client’s record automatically, marked “Completed online, awaiting countersign”.
  5. 5Sent already? The button says Send again (or Send now if it was set to go automatically later).

Certificates and withdrawing

Each signed consent has a certificate: open it from the client’s Consents tab to check it’s unaltered, or Print / PDF. If a client withdraws, open the certificate, tap Withdraw, give the reason and tap Confirm withdrawal. The original stays on file, marked Withdrawn. This needs the Withdraw consent permission.

Good to know

  • Health answers never go in emails.
  • To change a treatment’s questions, risks and aftercare, open it in Admin → Treatments and tap Edit consent form (see Consent form settings).
