Money
Finances and tax
Takings, expenses, profit, team pay, a month-by-month forecast, treatment margins and an estimate of what to put aside for tax.
Discounts given
When a booking had money taken off by a discount code or a Refer a friend reward card, its line in Finances → Transactions says so, for example “(code HALLOW10, £10.00 off)” or “(reward card, £10.00 off)”, and the income is what was actually paid. The Overview has a Discounts given card for the period: the total taken off, and how much each code (and reward cards) gave away.
Are you growing?
Finances → Overview → Growth shows your takings, profit or bookings over the last 30 days, 3, 6 or 12 months, or all time, by day, week or month. A dashed line compares it with the period before or the same time last year, and each figure shows the change: takings, profit, bookings, average spend, new clients and how many came back. Takings are split into new clients (their first visit), returning clients and other income. Tap or point at a bar for its figures and top treatment. Underneath: your busiest days, top treatments and who on the team took the most. Your choice is remembered on this device.
Month by month
Finances → Overview → Month by month. Use the arrows to go back up to 2 years or ahead up to 12 months (This month jumps back). Past months show what was recorded. This month and months ahead are a forecast: what’s recorded so far, plus appointments already booked (less any deposit already paid), regular payments still to come and, if you include it, team pay. It changes as appointments are booked, moved or cancelled.
Team pay
Finances → Overview → Team pay shows what your team costs each month, worked out from each person’s pay in Admin → Team → Employment: their pay, plus employer National Insurance (15% above £5,000 a year; none up to £50,270 for under-21s and apprentices under 25) and employer pension for employees. Self-employed people and contractors count as just what they’re paid. Turn on Include team pay in my finances to add it to your expenses, profit and tax estimate as Estimate lines (one each for pay, NI and pension a month, without names); leave it off if you add wages yourself from your payroll, so they aren’t counted twice. Estimate lines can’t be edited and aren’t in the CSV download. Only people who can manage the team see each person’s figures. These are 2026/27 estimates, not payroll: your payroll or accountant works out the real figures.
The tabs
Overview (income, expenses, profit, money to set aside for tax, month by month, regular payments, team pay, Growth and a chart by month), Transactions (each line shows what it was for, the client on its own line when there is one, when it was recorded and the amount; search, edit, delete, and CSV to download), Treatment margins, Tax, and Gift cards once you sell them (see Gift cards). Choose the period at the top: this or last month, the last 3 or 12 months, or this or last tax year.
Adding income and expenses
Payments taken on bookings are added for you, as the money comes in: a deposit goes in as the deposit, the rest when it’s paid, and nothing until they pay (appointments not yet paid for show in Month by month as booked). Use Add income for things like retail products or gift vouchers, and Add expense for your costs, with a category and, if you’re VAT registered, Includes VAT I can reclaim. On a phone the buttons are Income and Expense. For an expense you can add the company you paid: its name, website or account link, phone and email.
Regular payments
- 1Add expense → turn on Regular payment.
- 2Choose how often (every week, 2 weeks, 4 weeks, month, 3 months or year), the first payment date and, if it stops on a set date, when it ends. Leave the end blank and it keeps going until you stop it.
- 3Each payment is added to your accounts on its due date, so totals, tax and reports always include it. Past payments from the first date are added straight away.
- 4Overview → Regular payments lists them with the next due date, how much they cost a month and the company’s contact links. The Expenses card also shows each one under its category, with when it’s next due. Edit changes future payments; Stop ends it today and keeps the past ones.
- 5Delete a single payment from Transactions if it was wrong: it won’t be added again.
Accounts report
- 1Finances → Download report (Report on a phone).
- 2Choose the period: this or last month, the last 3 or 12 months, this or last tax year, an earlier tax year, or Custom dates.
- 3Choose Excel workbook (for your accountant or tax software) or PDF report (to print or keep: choose Save as PDF in the print window). The PDF has your logo, address, phone, email and website at the top, from Admin → Business → Profile and your website details.
- 4It has a summary (income, expenses, net profit, averages per month), profit and loss by category, your expenses grouped under HMRC’s Self Assessment headings, cash flow by month with a running total, quarterly figures for Making Tax Digital, payment methods, income by service, VAT by quarter if you’re registered, a tax estimate with your key dates, and every transaction.
- 5For a period that isn’t over yet, the tax estimate is for the profit so far, with a projection for the whole period. Choose a whole tax year when you do your return.
Tax
Choose sole trader (Income Tax and Class 4 National Insurance) or limited company (Corporation Tax), and whether you’re VAT registered. Pulosa estimates what to set aside, warns you near the VAT threshold and lists the key dates. It’s a guide, not tax advice: check with your accountant.

Good to know
- Cancelling or marking a no-show removes an unpaid sale; money already taken stays. To give it back, tap Refund on the booking: it’s added here as a minus line (marked Refund) on the day, and changed only from the booking.
