Logging in, PINs and switching

Your own PIN, forgotten PINs and the recovery key, switching between people on a shared device, and auto-lock.

1. Everyone unlocks with their own PIN.

Two steps to get in

  1. 1Log in with the business email and password. This is for the whole business. Tick Remember my email on this device and the email is filled in next time. Pulosa never keeps the password: let your browser’s password manager save it if you like (only on your business’s own devices).
  2. 2Unlock with your own PIN. Your PIN decides who you are, so what you do is logged under your name.

One PIN each

Everyone, owner included, has just their own PIN (4 to 8 digits). It unlocks your encrypted records and tells Pulosa who you are. There’s no separate business PIN to remember.

Switching person

On a shared device, tap Switch at the bottom of the menu (on a phone, or with the menu shrunk to icons, tap your picture), pick who’s using it and enter their PIN. Each person’s PIN must be different, so Pulosa always knows who’s signed in.

Changing your PIN

  1. 1Tap the gear by your name to open My account.
  2. 2Under Your PIN, enter your Current PIN, your New PIN (4 to 8 digits), and the new PIN again in Confirm new PIN. Tap Change my PIN. It can’t be the same as anyone else’s PIN.

Forgotten your PIN?

  1. 1Team members: ask an admin to set you a new PIN in Team, then your name, then Access.
  2. 2Admins: another admin can set you a new one the same way.
  3. 3No other admin, or every PIN forgotten: on the login screen, tap Forgotten your PIN?, enter your recovery key and choose a new PIN. It becomes the main admin’s PIN (the account owner), and everyone else’s PINs keep working.
  4. 4Lost the recovery key too? If you’ve set up recovery by email, contact Pulosa support. Once we’ve checked it’s you and allowed it, choose Recovery email under Forgotten your PIN? and enter the code from your recovery email (see Security, encryption and the audit log).

Your recovery key

A 20-character code that also unlocks your records, for when every PIN is forgotten. Admins make it in Admin → Business → Security, under Recovery key (the dashboard reminds admins until there is one). It’s shown once: copy, download or print it, and keep it somewhere safe and private, away from the devices you use Pulosa on. Pulosa doesn’t have a copy, so without a recovery key, forgotten PINs mean the records can’t be opened by anyone. Making a new key stops the old one working; changing PINs doesn’t. It opens clinical records too. A key made before health information got its own lock can’t: the dashboard and the Security page ask admins to make a new one.

Wrong PIN and auto-lock

After 5 wrong PINs, the screen waits 30 seconds before you can try again. Pulosa also locks itself after a few minutes with no taps, typing or scrolling (auto-lock): change the time (up to 60 minutes), or enter 0 to switch it off, in Admin → Business → Security, under Auto-lock.

Logging out and the business password

Log out locks Pulosa back to the PIN screen; the business login stays signed in on that device. To sign the device out completely, open My account and tap Sign out. Forgotten the business password? On the login screen, tap Forgotten your password? and we’ll email you a link to choose a new one. Admins change the business email and password in Admin → Business → Security, under Business login.

Good to know

  • Make your recovery key on day one. It’s the only way back in if every PIN is forgotten.
  • Forgotten your PIN? An admin can set you a new one from your staff file’s Access tab.
  • My account also has your name, email and photo, and a link to your staff file.
